TITLE:              Online Resources & Communication Assistant 

 

QUALIFICATIONS:                                          

  1. High School diploma and some post-secondary education.
  2. Related experience in student management systems preferred.
  3. Possess excellent written and verbal communication skills.
  4. The ability to work with a variety of individuals.
  5. Ability to work independently and as a part of a team.
  6. Technology skills.
  7. Clerical and typing skills with emphasis on accuracy.
  8. Ability to maintain high level of ethical behavior and confidentiality regarding district personnel and administrative business.

 

REPORTS TO:              Director of Technology & Human Resources

 

PRIMARY FUNCTION:

Provide support to end-users for the student management system, Infinite Campus (IC), and other programs utilized by the district, by evaluating issues and offering solutions, research; collaborate with student management system support staff and submit cases for program issues.  Prepare customized reports for local school needs.  Provide support to administration in communicating with stake-holders using online tools.  Monitor, coordinate and update the District Website content and ensure information displayed on the website is accurate and current.  Will create and update district social media posts and prepare other district communication.  Act as the District’s registrar through the online registration process.

 

PHYSICAL REQUIREMENTS:

Normal duties are sedentary at the desk; bending, stretching; up and down in the office; mobility around the office; and the ability to lift up to 20 lbs.

 

PERFORMANCE RESPONSIBILITIES:

 

Student Management Systems (SMS)

  1. Trouble shoot and resolve SMS questions from staff, students and parents.
  2. Submit tickets and work with SMS companies to solve more serious program issues.
  3. Research and implement new applications that work with Infinite Campus and Canvas.
  4. Attend training and relay information to staff on any system updates/best practices/issues.
  5. Provide information, training and support to school staff on the use of Infinite Campus including scheduling, gradebook and report cards, reporting, data entry procedures, parent portal, ad hoc reporting, etc.
  6. Review security, set appropriate security settings and update after each new system release/upgrade.
  7. Annual uploads of new staff and student information into databases.
  8. Annual Civil Rights Data Collection reporting (federal report).
  9. State and Federal Reporting – Know current state and federal reporting requirements, oversee reporting periods for the school district, run various reports and check data to ensure accurate reporting and make sure all schools comply with reporting guidelines.
  10. End of the Year signoff with South Dakota Department Of Education – ensure all reports have been submitted by the deadline and the information is accurate.
  11. Work with 3rd party vendors and their specifications to implement new programs.
  12. Producing various reports for district administrators as requested.

Communication/Website

  1. Build, monitor, and update the District Website content.
  2. Set up and maintain an admissions page and parent page on the website.
  3. Prepare surveys for parents, staff or specific groups as requested
  4. Maintain and update Voice Messenger through IC.
  5. Use Email Messenger to send out emails to entire district or to specific groups.
  6. Make social media posts or assists school staff in making social media posts.
  7. Prepare training documents/newsletter as needed.

Registrar

  1. Register new students using online registration. Answer questions and help families with the online process.
  2. Welcome new families to the district and community with packets prepared that include specific school and community information.
  3. Organize, set up and manage online registration for current students each fall and Kindergarten/Preschool Registration in the spring.
  4. Review and approve online enrollment applications

New Staff

  1. Set up all the new staff accounts in Infinite Campus with appropriate access.
  2. Welcome new staff to the district and provide training in Infinite Campus instruction during staff in-services and continue to provide instruction opportunities throughout the school year.

General

  1. Customer service assistance and office coverage in the administration office area.
  2. Miscellaneous data entry and filing assistance as requested by district administrators.
  3. Other duties as assigned.

 

 

EVALUATION PROCEDURE:

This position is responsible to the Director of Technology and Human Resources; the performance of this position will be evaluated yearly by them.
