TITLE: ELEMENTARY SECRETARY

QUALIFICATIONS:

  1. High School diploma and one year or more of clerical experience.
    2. Ability to handle multiple tasks in a timely manner.
    3. Good listening and communication skills.
    4. Good organizational skills with ability to tolerate constant interruptions

REPORTS TO: K-3 Building Principals

PRIMARY FUNCTION:
Perform a variety of clerical functions to include answering and referring phone calls; greeting and directing visitors, photocopying; performing nursing duties; maintaining student records; submitting reports; taking attendance; compiling and ordering supplies; and performing other tasks as assigned by the building principal.

PHYSICAL REQUIREMENTS:
Ability to get up and down in an office setting; standing; bending; and lifting up to 20 pounds. Mobility in and around office/school.

PERFORMANCE RESPONSIBILITIES:

  1. Answers telephone, greets & directs visitors, take lunch checks and give to Food Service.
  2. General nursing duties, clean-up ill children (vomit or diarrhea), call parents and school nurse in case of emergencies, help with diabetic students (Virtual Nursing Program)
  3. Set-up group/email distribution lists; update staff committee lists, prepare weekly staff news;
  4. Make sure school maps are updated with new staff & other info for general school map, fire drill, and tornado drill;
  5. Enter all leave requests for staff & get necessary paperwork to staff and Admin; daily fax leave report to sub coordinator; verify all timecards for all hourly staff & enter all leave into program & verify playground supervisors timecards;
  6. Do monthly payroll for all hourly staff & playground supervisors AND distribute timesheets to staff & supervisors; do monthly substitute payroll, verify all substitute and leave info, make sure to have vouchers for all subs, and print 2 reports for Admin; and other duties as requested;
  7. Play voice messages, check and verify attendance for each classroom teacher, call those parents/guardians who haven’t reported absences, involve SRO to help located students as necessary, escort tardy students to their classrooms if necessary;
  8. Maintain supplies for both copiers and all school printers, be a local “service tech” on our copiers but call company as needed for major breakdowns;
  9. Update all staff in Infinite Campus and make sure they have necessary ‘rights’ to work in Campus; get computer check-in info and set-up new staff in Campus; make sure former staff have been disabled in Campus and let Admin & tech know of leaving staff updates; update staff phone lists for staff, office, parents/guardians, Administration, and School Reach; update classroom teachers and subjects in Infinite Campus; schedule all students in Infinite Campus for attendance and all subjects, including Specials: enter new students throughout the school year and schedule them as necessary, coordinate between all staff

new student info; email staff on comings and goings of students; print and distribute copies (20) of class lists once a month or as needed to necessary staff; enter all enrollment information into Campus (ESL students, Title students, open-enrolled students, etc.) by last Friday in September; set-up school calendar in Campus;

  1. Check grades and print report cards for mid-term (3rd gr. only) and quarter for 1st – 3rd grades;
  2. Get phone updates to Swiftel for new staff & room changes;
  3. Stay until 4ish to make sure bus kids are accounted for and watch some kindergartners until 4 when they get picked up by older sibs on busses;
  4. Distribute forms and then prepare Capital Outlay and Room Repair Request report at the end of year & do any orders from that report as needed;
  5. Make sure new staff have access to School Specialty and former staff removed;
  6. Maintain general office supplies and printer toners for all staff; copiers’ supplies;
  7. Check in all summer orders and get delivered, check in supplies throughout school year;
  8. Distribute mail on daily basis, make sure all inner school and postal mail leaves the building with respective carriers;
  9. Do End of Year Tasks: next year’s class lists, school supply list, registration/check in info for parents/guardians, get award recipients (Citizenship, Top Reader & Most Improved Reader, & Perfect Attendance) and then print certificates, staff textbook inventories, make sure staff turn in orders before leaving for summer, remind staff of their EOY duties & do checklist for staff, do EOY reporting for Campus, get all orders over to Admin;
  10. Help coordinate Kindergarten screening, get reports of potential kindergartners to Admin. for parent/guardian calls, check over addresses before screening for school boundaries, help days of screening, work with incoming cum files, online registration, go through addresses after screening for school boundaries, & keep working with the kindergarten list throughout the summer for updates/deletions;
  11. Help with student behavior problems and observe students in office if sent;
  12. Class lists all year around;
  13. Coordinate things between office and custodians;
  14. Monthly calendars & updated for parents/guardians; announcements; Parent Portal applications entered into Campus & maintain that for parents/guardians; registration/checklist duties as necessary before school starts; coordinate between after school organizations (G.A.P. and GB & G Club) & bussing; coordinate between Life Touch and school/staff; conferences duties as needed – family lists, notes sent to classroom teachers, schedules sent to teachers, and then maintain conf schedules for office; help maintain parent-student handbooks & get to Life Touch for planners; attend monthly secretary meetings with District and go to Campus trainings periodically through school year.

TERMS OF EMPLOYMENT:
The board shall offer a contract with salary, benefits and length of school year to be determined as stated in the Brookings Education Association Master Contract between the employees in the certified collective bargaining unit and the Brookings School Board in compliance with state statutes.

EVALUATION PROCEDURE:
This position is responsible to the building principal and the performance of this position will be evaluated by the building principal.
