TITLE: SECRETARY – HIGH SCHOOL COUNSELING OFFICE

 

QUALIFICATIONS:

 

  1. High School diploma 
  2. Ability to use a variety of computers and software packages to include Microsoft Word, Excel, Access and PowerPoint.
  3. Good communication and listening skills. 
  4. Ability to prioritize work, manage deadlines, and maintain schedules in a fast-paced environment.
  5. Ability to maintain a high degree of confidentiality when working with student records and sensitive information.
  6. Good organizational skills with ability to tolerate constant interruptions.

 

REPORTS TO: Principal, Assistant Principal and Counselors

 

PRIMARY FUNCTION:
Provide administrative and clerical support to the Counseling Office. This position serves as a primary point of contact for students, families, staff, and outside agencies, and supports enrollment, student records management, registration and scheduling processes, testing coordination, scholarships, communications, and office operations. This role requires professionalism, accuracy, confidentiality, and strong organizational skills.

 

PHYSICAL REQUIREMENTS:

Work effectively at a computer for long periods of time; finger dexterity and endurance to enter data quickly and accurately; mobility in and around the office/school; and ability to lift up to 20 pounds.

PERFORMANCE RESPONSIBILITIES: 

  1. Answer and refer incoming phone calls, greet visitors, and provide accurate information to students, families, staff, and community members.
  2. Direct individuals to appropriate personnel and resources as needed.
  3. Perform student enrollment responsibilities, including preparing, maintaining, copying, and updating student records.
  4. Process and respond to student record requests, including requests related to transferring students.
  5. Organize and maintain student cumulative files in accordance with district and state recordkeeping requirements.
  6. Oversee class registration procedures by coordinating student scheduling in collaboration with counselors.
  7. Support student schedule processes by preparing materials, managing documentation, and assisting with schedule-related communications.
  8. Coordinate student scheduling and prepare testing materials for ACT, ACT Prep classes, and PSAT testing.
  9. Assist with testing processes including collecting and receiving payments, registering students, compiling rosters/lists, typing correspondence, and filing testing results.
  10. Assist with marketing and promoting scholarships, deadlines, and events sponsored by the high school counseling office through appropriate communication channels.
  11. Coordinate and maintain student scholarship applications and supporting files.
  12. Prepare materials for Awards Night and other student recognition events.
  13. Coordinate with service organizations and community partners regarding student achievement awards and representative visits.
  14. Prepare and process a variety of correspondence, records, reports, and files.
  15. Perform general clerical duties including mail distribution, scheduling appointments, ordering supplies, monitoring inventory, and maintaining office organization.
  16. Manage and support website and social media publications related to the school counseling office.
  17. Prepare and provide information to media outlets as directed.
  18. Assist with the creation of newsletters, posters, flyers, bulletin boards, and other communications materials.
  19. Request information from colleges and employers as needed to support student planning and school communications.
  20. Other duties as assigned.

 

TERMS OF EMPLOYMENT:

The Board shall offer a letter of agreement with wages and benefits to be determined by the board as delineated in the Master Agreement.

 

EVALUATION PROCEDURE:

This position is responsible to the building principal(s) and the performance of this position will be evaluated by the building principal(s).
